Do I have to complete a Report IT! Confidential online reporting form for reporting any issue?

No; There are issues/concerns that you may choose to deal with and/or resolve directly with the school administration, in the case of a student matter. For a staffing issue, you may wish to have these addressed by a manager, supervisor, or your union. You always have the choice of determining whether or not you want to disclose an issue/concern through Report IT! You may feel confident in filing through Report IT! in circumstances where you believe that there is breach of a specific Board policy, practice, or function. You may also want to inform that you or someone who you can specifically identify have been negatively impacted by an incident or situation and want to inform in writing to ensure the matter is addressed.

Can I use Report IT! to inform about a concern/issue anonymously?

As a general rule, anonymous complaints are not reviewed. This is to ensure that specific concerns/issues are reviewed that identify a specific person. It is also to ensure procedural fairness so that someone is given the opportunity to answer the person and allegations being made against them. However, there may be instances in which issues of personal safety or fear of reprisal are taken into consideration. All complaints are carefully assessed. With complaints made anonymously, depending on the facts and circumstances, we may be unable to respond to you directly to let you know what is happening on the file.

I am concerned about confidentiality. How do I know this process is confidential?

Confidentiality at all times is at the core of Report IT! and has been designed with the understanding that all information received through Report IT! is managed through the Commissioner's Office of Human Rights Equity & Accessibility (COHREA). At all times, the information you provide about your issue(s)/concern(s) will not be shared with anyone or any other area within the Board without first getting your written consent.

What about people who might make a frivolous, false, or malicious complaint?

Report IT! is for members of the KPR community to bring awareness to issue(s)/concern(s) affecting them. An issue/concern cannot be identified or defined as a "complaint" until it is assessed. Anyone found to be using Report IT! for the purpose of making a frivolous, false, or malicious complaint may be faced with consequences identified under various Board policies as having engaged in abusing the process and potentially engaging in a type of harassment.

How do I know that someone will attend to my concern?

You will be provided with a confidential confirmation email following your Report IT! submission. It will then be reviewed by COHREA staff who will follow up within two (2) business days to inform on next steps. Due to staffing or special times of the year response times may be longer than expected, but we will always do our best to respond within the intended timeframe.

I am a union member. Shouldn't I be contacting my union if I want to report a concern?

As a matter of good practice, it is always advisable to inform your union on a workplace concern. In various instances, the union would normally have responsibility to address the matter through their own processes as governed by the applicable collective agreement. In instances where the union is aware and believes that the issue/concern must be reported, then it would be appropriate to proceed completing and submitting the confidential online reporting form.

What happens after I complete and submit the confidential online reporting form?

Once you have completed and submitted the confidential online reporting form, you will receive an automated email informing receipt and the following will happen after:

  1. It is reviewed to determine the nature of the issue/concern and what is being sought.
  2. The party who submitted the confidential online reporting form is informed by the Report It! Intake Officer on next steps. Upon the party providing written consent, a handover is done so that the issue/concern is forwarded to the appropriate area for review. Where the party is a member of a bargaining unit, they are informed to reach out to their union and provide written confirmation to the Report It! Intake Officer that it has been done.
  3. The file is sent to the appropriate area for conducting a review/ investigation, OR
    • If the matter is determined to be requiring review under the Human Rights Code, fact-finding is done upon receiving written consent from the party.
  4. Upon completion of the review, a preliminary assessment is completed.
  5. The finding of the preliminary assessment will determine if an official referral is required or if the COHREA will have jurisdiction.
